The Role

The Administrative Coordinator provides essential administrative support to the Governance Department and delivers exceptional service to volunteers serving within ABMS governance structures. This full-time, Chicago area-based role includes travel to the downtown Chicago office at least twice per month to support records digitization and governance operations. The position supports the Senior Vice President of Governance and Board Relations and helps coordinate the activities of the ABMS Board of Directors, committees, and Member Boards.

Key Responsibilities

  • Provide day-to-day administrative support including calendar management, travel arrangements, and expense processing
  • Coordinate meetings between senior leadership, staff, Member Board Executives, and external stakeholders
  • Draft meeting minutes for governance-related committees and groups
  • Maintain records, update contact lists, and digitize governance documentation
  • Ensure completion of annual Conflicts and Dualities of Interest forms
  • Format reports, correspondence, and presentations according to organizational style guidelines
  • Support meeting logistics through BoardEffect and assist with special projects as assigned

Requirements

  • At least two years of administrative experience supporting a small or mid-sized department
  • Experience in a nonprofit, healthcare, membership, or association setting preferred
  • Experience drafting meeting minutes and managing complex calendars
  • Advanced proficiency in Microsoft Office 365 and Adobe Acrobat
  • Strong organizational, communication, and interpersonal skills
  • Ability to maintain professionalism, confidentiality, and attention to detail
  • Bachelor’s degree preferred

  • Hourly rate between $31.75 and $35.00 depending on experience
