Founded in 1996, West Point Grey Academy is an independent co-educational day school in Vancouver, British Columbia, serving approximately 940 students from Junior Kindergarten to Grade 12. The school’s Advancement team supports fundraising, alumni relations, and community engagement through strong systems, accurate data, and trusted processes.
The Role
The Manager, Database & Donor Relations is a permanent, full-time position within the Advancement Department, reporting to the Director of Advancement. This role ensures the integrity, governance, and effective use of the school’s donor database to support fundraising, stewardship, alumni relations, and community engagement through reliable reporting and collaborative systems support.
Key Responsibilities
- Manage the Advancement database (Raiser’s Edge) ensuring data accuracy, consistency, and integrity
- Establish standards for data entry, coding, governance, and reporting
- Support gift processing, donor records, acknowledgements, and stewardship workflows
- Design reports and dashboards to support fundraising, campaigns, and leadership decision-making
- Provide guidance, documentation, and training to colleagues on effective database use
- Collaborate with Finance, IT, Enrolment, and other departments where systems intersect
- Ensure adherence to privacy legislation, donor intent, and ethical data practices
- Develop tracking systems to enhance donor and volunteer stewardship
Requirements
- Post-secondary degree or equivalent experience in business administration, information systems, fundraising, or nonprofit management
- Progressive experience managing a CRM or donor database in a nonprofit or educational environment
- Strong knowledge of data integrity, governance, and reporting processes
- Experience supporting fundraising, alumni relations, or donor stewardship through database management
- Ability to translate complex data into clear, usable information
- Strong communication, collaboration, and judgement when handling confidential information
- Mandarin language skills considered an asset
